Privacy Policy

This policy covers the Fieldnote product and website, operated by Fieldnote Research, Inc. It's written to be read, not skimmed past — if anything here is unclear, ask us and we'll answer plainly.

01What we collect

Account information (name, work email, workspace name), billing details processed by our payment provider, usage information that tells us which features work and which don't, and the content your workspace stores in Fieldnote — recordings, transcripts, tags, and reports.

02Recordings and transcripts

Recordings are made only when a workspace member invites Fieldnote to a call or uploads a file, and consent tooling runs before recording starts. Your research content belongs to your workspace: we never use it to train models, never sell it, and our staff access it only with your permission for support you've requested.

03How we use data

To operate the product, to secure it, to bill correctly, and to improve features based on aggregate patterns. We send transactional email (receipts, resets, consent confirmations) and — only if you opt in — the Field Guide newsletter.

04When we share

With processors who help us run the service (hosting, transcription infrastructure, payments), each under a data processing agreement; with authorities when the law genuinely requires it; and in a change of ownership, in which case this policy still binds the successor. Never with advertisers — there are none here.

05Retention and deletion

Workspace admins set retention windows for recordings and transcripts. When you delete content — or your workspace — it's removed from production systems within 30 days and from backups within 90. Export everything first, any time, in standard formats.

06Your rights

Depending on where you live, you may have rights to access, correct, export, restrict, or delete personal data we hold about you (GDPR, CCPA, and kin). Email us and we'll honor them without a scavenger hunt. Research participants may contact us directly; we'll route requests to the controlling workspace.
